July 31, 2024: EyeCareConnect Practice Automation announced the planned discontinuation of it's online presence. This document addresses questions current users will have regarding continuity.
Q: What is the current schedule for EyeCareConnect shutdown?
A: November 01, 2024 (midnight): EyeCareConnect will support archive export downloads, read-only online access and reports only. A: November 15, 2024 (midnight): EyeCareConnect will support archive export downloads only.
Q: Will I be able to send claims after November 1?
A: No. Transactions of all types will cease after the site transitions to read-only, which includes claims, patient billing statements, recalls, and sms text messages.
Q: What data access will I have after November 1?
A: Full data access will be available via your normal screens and reports, but on a read-only basis. New entries will not be supported during this two week period. IMPORTANT: Final report runs should be planned for this two week window using the "OutPut to:" option on the Reports screen to save and store for backup and subsequent access.
Q: What data access will I have after November 15?
A: We are providing data exports of your patient demographics listings, as well as encrypted zip archives of visits, exam/rx templates, attachments and patient notes documents. Once downloaded, this information will be in your possession on your own computer, for your access, safeguarding, and potential use for imports. This is available via single-click access directly from your MessageBoard. Final Patient Medical History Archive zip files will be generated shortly after November 1 to include all relevent data through that date, regardless of whether your practice has requested earlier versions of the file. The final build date will be listed in blue next to the "Download" button in your Exports area. It is highly recommended this file be downloaded and saved to a secure storage location as soon as the November build is posted.
Q: Is there any other information I'll be able to access and print out?
A: Yes, through November 15 all the reports available on your Reports screen can be accessed to pull up for viewing, printing or saving as text files for future use. Some reports are date sensitive ( such as the patient lists ) and others are not, based the report content. If you are unfamiliar with the Reports screen we encourage you to review it's content and capabilities now to understand what is currently available to you.
Q: How can I access our Patient Archives zip file?
A: EyeCareConnect has generated a final archive file for each location as of November 2. Clicking the zip archive "Download" button will copy this file to the downloads directory on your computer, which may vary depending on the browser you are using but generally can be located by selecting "downloads" from your browser's menu.
Q: How do I use our Patient Archives zip file once downloaded?
Step 1: The zip file must first be opened with a zip file utility. If you already have and are familiar with one, use that. If not, the free 7zip utility is recommended, which can be installed from here: www.7-zip.org
Step 2: Open the zip file by clicking on it in your downloads directory if it is still located there. You will be prompted for a password in order to open or extract any fles, this can be found on the MessageBoard Exports area and viewed by clicking the "View Password" button. Record this value in a safe place.
Step 3: Select or highlight the two entries in the zip file (a file named "index_###.html" and a directory labeled "pxi"). Select "Extract" from the program's menu and you should see a prompt indicating where your extracted files should be copied. Be sure there is free space on your local disk or or attached thumb drive, which will typically require considerably more than the size of the zip file itself. Once this step completes, close the zip file program and be sure to back the original zip file to a safe place for long-term backup.
Step 4: Locate the extracted files on your computer, and click on the file "index_###.html". This may be a very large file so allow a moment for it to load into your web browser. You should see a paragraph of red text at the top of this file, which contains important information. The list of patients below the message is an index of links which allows you to click on any one and jump to the associated set of archive files for that patient. If this was an active patient,you should see any or all of the following files:
1detail.html - Contains patient demographic information based on the Patient Detail screen in EyeCareConnect.
1notes.txt - Contains all notes added to the Notes field of the Patient Detail screen.
1visits.html - Contains a table of all the visits recorded for this patient on the Visit screen, similar to the central body of the visit receipt but containing all recorded visits and not just the most recent.
exam_*.html - All Exams and Rxs created on the Exam/Rx screen, one individual file for each.
Attachments - All files uploaded to EyeCareConnect as File Attachments with original file names.
